Our clients are property professionals established. Their services cover all aspects of residential property; from lettings and management to sales and buy-to-let investments.
Their lettings division manages over 1400 properties throughout the county, ranging from studio apartments to seven bedroom listed mansions. This gives them sales division considerable advantage and enables them to negotiate sales very efficiently. Roles & Responsibilities
General Tasks
Attend your department morning meeting every day
General office duties to include answering the telephone, respond to emails within 24 hours and dealing with people coming into the office.
Booking in and out keys
Ensure you keep up to date with your specific tasks and are meeting your KPIs.
Liaising with other departments within the company to ensure queries are dealt with and answered correctly, in a timely fashion.
Ensure we are compliant with all current and new regulations.
Always come to work in smart business dress and be well groomed.
To follow company’s Personal Safety Procedures to avoid putting yourself or others at risk.
Arrive to all internal and external meetings and appointments on time.
This Job Description sets out the duties of the post at the time it was drawn up. Specific Tasks
Manage portfolio of blocks/estates
Dealing with general block maintenance queries
Actioning repairs in line with the budget and Director’s authority
Processing works orders and invoices
Utility
Preparation of inspection reports using Inventory base and associated
Ensure all repairs/issues noted following the visits are dealt with
Ensure that all properties are compliant with safety legislation and legal frameworks
Work within the budget, unless authorisation has been approved by Directors
Preparation of block/estate annual budgets and day to budget management in collaboration with the Client Account Management Team
Undertaking Section 20 processes where required
Co-ordination of Insurance Claim processes
Support the Accounts Department in Arrears Case Management through to Solicitor Referral
Attending leaseholder/shareholder meetings (these could be outside of normal business hours)
Contribute and update weekly and month performance reporting requirements
General administration/correspondence
Preparation of Leaseholder and Freeholder Management Packs
Processing of Transfer of property ownership notifications and enquiries
Skills Required
Person Spec
Educated to Graduate Standard
Experience of Microsoft Office – Word, Excel etc.
Good Communication Skills
Car driver with clean license
Full Training will be given
Industry Qualification will need to be studied for and completed within a set time frame if not already held.
Desirable Eligibility Requirements
Educated to degree Level
Block management or Property Management experience
ARMA or RICS Membership or Qualification
