Roles & Responsibilities

To provide support and delivery of services to clients and the Sales team in the provision of all services surrounding the provision of light commercial vehicles and specially converted vehicles.

DEPARTMENTAL FUNCTIONS:

  • Action within pre-agreed time-scales all new LCV quote requests
  • Verify that LCV Contract Hire Customer Orders are correctly executed, approved by the Customer and vehicle/s to the required specifications are ordered.
  • Verify that correctly approved documentation for all Contract Hire orders received from Customers is in place prior to placement of vehicle purchase order via a third party.
  • Ensure that professional business relations are being maintained with all Group and third party vehicle suppliers.
  • Maintain/update new LCV product library on a regular basis. Ensure that such data is provided to all relevant staff via in-house shared files.
  • Analyse and monitor trends and report findings to Sales & Marketing Director.
  • To attend client/prospect meetings in conjunction with Area Managers providing specialist advice regarding LCVs

KEY RESPONSIBILITIES: It is the specific responsibility of the Executive to carry out the following duties:

  • Provide assistance to ensure that LCV Contract Hire Customer Orders are correctly executed, approved by the Customer and vehicle/s to the required specifications are ordered.
  • Liaise with LCV Suppliers to obtain vehicle supply costs and any specialist equipment: monitor these and ensure such data is obtained within specified time-spans.
  • Ensure that all completed documentation has been filed in a timely and accurate manner.
  • Ensure that LCV Supplier Contact details are updated and maintained on a regular basis.
  • Request updates using the update system, and from Nominated Suppliers to obtain the estimated delivery date of the Customer Order. Maintain appropriate records, monitor progress and provide customer order update on a fortnightly basis.
  • Identify any Customer Order which is likely to exceed the estimated delivery date and take appropriate action to expedite any delay soonest possible. Ensure that ALL involved parties are fully informed regarding progress being made.
  • On-line Ordering of Driver Safety Packs, number plates and mats for vehicles arriving into stock and ensure these are despatched directly to the Supplying Dealer or the Logistic Agent.
  • Instruct Supplying Dealer to tax and register a vehicle.
  • Obtain verification from the Supplying Dealer that the Customer Vehicle Order is complete and available for delivery; organise convenient delivery date directly with the Customer. Arrange delivery via Web Portal or written instruction via email. Confirm to all parties.
  • Arrange the company/other Leasing Company end-of-contract vehicles collections.
  • Receive enquiries (verbal/written) from customers, company vehicle drivers, dealers and third party suppliers in a courteous and professional manner. Offer guidance and assistance as necessary.
  • To provide support and assistance in the performance of any additional functions within the department

Skills Required

  •  An individual who conducts themselves in a courteous and professional manner at all times.
  •   A sound understanding and appreciation of customer service principles and practices
  •  A strong working knowledge of Microsoft office products in particular working with Excel and complex spreadsheets
  • An individual who is focused, professional and has the ability to work closely with the Directors, Senior Management Team, Head Office Staff, colleagues at all levels of the business and supply partners in a sensitive and professional manner
  •  A sound understanding and appreciation of customer service principles and practices
  • Technical vehicle experience would be an advantage particularly from a manufacturer or dealership background together with knowledge of light commercial vehicles
  •  The desire to undertake continuous professional development
